What experience Notas IT team have in business process optimization?
The Notas IT team has optimized processes for multiple businesses. One of our favorite examples of business process optimization is load registration at a prominent Lithuanian transport company. The industry has used a transport management system that, to register a load, requires performing these actions:
- Creating an empty load
- Importing load information from the manufacturer's storage by going deep into the menus
- Assign a loading number for each car in the load
- Sending load confirmation for the individual vehicle in he load
The system was not flexible and signaled a pain point in the company's process efficiency. The registration of each load took about 15 minutes. We resolved this situation by conducting a process analysis, creating a process map, and implementing a new system, which enabled the automation of business processes. As a result, the system works in the following way:
- Has a periodically running process that scans the manufacturer's storage, imports the load automatically, generates a unique loading number, and sends a notification to the transport manager.
- Allows the transport manager to log in to the system, open the newly created load, assign a truck, and send the message to the manufacturer
This business process optimization strategy enabled the load to be managed in under a minute, resulting in a significant improvement to the business process. These 14 saved minutes, as reported by different managers, accumulated to hundreds of hours per year. By performing this optimization, key performance indicators were improved, and customer satisfaction increased.
